Commercial Facility Cleanout Checklist

Use this commercial cleanout checklist to coordinate approvals, sensitive records, building access, asset removal, and final signoff.

Assign authority and define the deliverable

Name one business representative who can approve the removal list and price. Include the landlord or property manager where lease conditions affect fixtures, access, work hours, or the required condition at surrender.

Define whether the project is a furniture clearout, a stockroom reset, or an end-of-lease contents removal. A cleanout should not silently expand into a construction make-ready or repair project.

  • Approve the asset and room list.
  • Mark retained, transferred, leased, and removed items.
  • Record landlord-owned fixtures and equipment.
  • Set the inspection date and handoff standard.

Protect records, devices, and business continuity

Remove confidential files, employee information, payment equipment, access credentials, and data-bearing devices from general junk. Use an appropriate records and IT process before releasing equipment or storage furniture.

Coordinate with IT and operations so that active network equipment, telephone systems, and replacement furniture are not disrupted. Ordinary hauling does not imply certified data destruction or a documented chain of custody.

Confirm building rules before dispatch

If the building requires a service elevator reservation, loading dock appointment, insurance documents, protective coverings, or an approved vendor process, arrange those requirements before the removal date. Requirements vary by property and should be confirmed rather than presumed.

Check door dimensions, elevator capacities, parking locations, and the distance between the suite and truck. A loading zone that works for small deliveries may not suit a large furniture cleanout.

Identify specialized work and materials

Distinguish loose furniture from connected appliances, hardwired equipment, cubicle power systems, and fixed shelving. Qualified disconnection or separate dismantling may be necessary before hauling can begin.

For retail or restaurant spaces, identify food waste, grease, refrigeration equipment, chemicals, and pressurized cylinders separately. Do not assume a general commercial cleanout includes those streams or specialist equipment servicing.

Approve pricing and close the job deliberately

Commercial pricing reflects volume, weight, labor, access, elevators, docks, disassembly, loads, scheduling, and building rules. Describe after-hours work, phased access, and any documentation needs while requesting the estimate.

XB Junk Solutions LLC confirms the final price on site before loading. Finish with a joint walkthrough, compare cleared areas with the scope, and record any remaining specialist work before signing off.

Common questions

An authorized business representative should approve disposal and pricing. The landlord or property manager may also need to approve access, fixtures, or handoff conditions.
Not automatically. Arrange data handling separately and request the specific documentation your organization requires before releasing devices or records.
They should be described explicitly. Reservations, restrictions, carry distances, and loading windows affect labor and scheduling and therefore can affect price.
Not entirely. Refrigeration, grease, food waste, chemicals, and connected equipment may require specialized handling or separate contractors.
